Post Job opening - Bookkeeper/Office Manager @ Apex Race Parts

Located in Livermore, CA, APEX Race Parts produces and distributes high-quality performance wheels and wheel accessories for BMWs. We are focused on high performance products designed to meet the demands of motorsports applications and the serious car enthusiast.

APEX is growing rapidly and expanding beyond support for BMWs into other European and Domestic makes. Driving this expansion is our emphasis on technical expertise and customer support.

This single, full time position would be a mix of three ordinarily part time positions: Bookkeeper, office manager, and executive assistant. The primary responsibility would be completion of all necessary bookkeeping functions, in addition to organizing and supporting the day to day operations of the office, and assisting the CEO as needed. Candidates would use their previous expertise and experience to hit the ground running with minimal training.

Responsibilities and Essential Duties:
As the Bookkeeper
  • Recording and paying bills
  • Making deposits
  • Processing of payroll and payroll taxes
  • Calculating and auditing timesheets, vacation/sick days, and commission reports
  • Completion of monthly/quarterly reconciliations
  • Preparing reports for Sales department and Executive review
  • Filing quarterly sales taxes
  • Filing property taxes
  • Sending 1099ís as needed
  • Supporting CEO and CPA to complete year end tax filing
  • Assisting with loan application processes
  • Developing a filing system for all documents, plus maintaining its organization and security
  • Opening/sorting incoming mail, sending outgoing mail
As the Office Manager
  • Maintaining office schedule/calendar
  • Helping develop and record policies and procedures
  • Communicating with vendors, suppliers, and government agencies as needed
  • Purchasing supplies, maintaining and improving office environment
  • Assisting with event planning/organization/travel
  • Acting as a project manager for special projects, at the request of executives
  • Assisting with miscellaneous projects and assignments as needed
  • Supporting sales staff with purchase orders, invoices and collections as needed
  • Coordinating with warehouse and sales to maintain inventory accuracy and communication
  • Assisting with permit and license renewals/acquisitions
  • Managing calendars, schedules, to-do lists for CEO
  • Assisting with planning and implementation of special projects for CEO
  • Assisting with preparation for presentations/meetings for CEO
  • Acting as liaison with other departments and outside agencies when needed for CEO
  • Running necessary errands and duties for CEO
Job Qualifications and Requirements:
  • Detail oriented, self directed problem solver
  • Good planning, negotiating, and organizational skills
  • High level proficiency with QuickBooks and Microsoft office suite
  • Well-developed interpersonal and communication skills
  • Able to multitask and meet deadlines in fast paced environment
  • Minimum 3 years of relevant and verifiable bookkeeping experience required
  • Minimum 2 years relevant and verifiable general office administrative experience required
  • Touch typist, minimum 45 WPM
  • Clear, legible handwriting
  • Candidates must have valid driverís license, and acceptable driving record
  • Pass a background check, and drug test
  • Associates degree or greater preferred
  • A passion for racing, and automotive performance products preferred but not required
  • experience with ecommerce businesses preferred but not required
  • Human Resources experience a plus but not required
  • Staff management and training experience a plus but not required
